The Office Assistant / Customer Service Representative will manage daily customer communication, scheduling, payments, and front desk operations while helping maintain a smooth workflow throughout the shop. This position also supports the detailing team when needed by assisting with light cleaning, vehicle prep, and ensuring promised deadlines are met for each customer.
This team member will be responsible for opening and closing duties, maintaining organization throughout the day, and ensuring the shop is fully prepared for daily operations. The Office Assistant will serve as the primary point of contact with the Operations Manager, providing daily updates regarding scheduling, workflow, customer needs, and vehicle completion timelines.
In addition, this position will be responsible for managing shop inventory, including detailing chemicals, towels, tools, and office supplies. The role includes monitoring stock levels, notifying management when supplies are low, and helping ensure the team has all necessary materials to operate efficiently and meet customer deadlines.
This role plays a key part in delivering an exceptional customer experience by keeping operations organized, maintaining clear communication with customers and staff, supporting the detailing team, and ensuring every vehicle is completed on time and to Makai’s premium standards.

Answer incoming calls, emails, and social media inquiries in a timely and professional manner
Schedule vehicle detailing appointments and manage the booking calendar
Confirm appointments and send reminders to customers
Maintain accurate customer records and service histories
Process invoices, payments, and issue receipts
Prepare daily sales reports and reconcile transactions
Order and track office and detailing supplies
Greet customers upon arrival and provide service overviews
Explain detailing packages, pricing structures, and service timelines
Handle customer questions, concerns, and complaints with professionalism
Follow up with customers post-service to ensure satisfaction
Upsell additional detailing services or maintenance packages when appropriate
Maintain a clean, welcoming front-desk and waiting area
High school diploma or equivalent
1+ year customer service or admin experience preferred
Reliable and punctual
Basic math and payment handling skills
Flexible availability (including weekends if needed)
